Edmonds Community College Selects Cardiff's Business Process Management Solution

August 04, 2008

Autonomy Corporation, a provider of infrastructure software for the enterprise, said that Edmonds Community College has selected Cardiff's Business Process Management (BPM) solution to enhance its administration’s efficiency and improve employees’ productivity.

The BPM solution, LiquidOffice, enables the college to create, deploy, route, approve and manage thousands of digital forms each year. Company officials said that LiquidOffice "accelerates cycles, ensures compliance, along with connecting people with information and processes, regardless of location.”

Initially, the LiquidOffice solution will be used by the college to streamline and automate the processing of thousands of forms, such as the “Personal Action Forms” (PAFs).

These forms are initiated by Human Resources to process a number of activities, including cost of living adjustment and salary increases. The college estimates that approximately 5,000 to 10,000 PAFs are processed each year and these forms are circulated to multiple departments for approval.

In addition, college officials said that PAFs also contain “sensitive” information such as employees' Social Security numbers. The deployment of Cardiff solution is expected to allow staff of collage to electronically fill out HR-related forms and securely route them throughout the organization.

In addition to cutting down on delays related to paper-based processes, the solution is also expected to provide users access to “in-flight” process reporting to track the status of a particular business process.

Serving about 19,000 students per year, Edmonds Community College is one of the 34 colleges that comprise the Washington State Community and Technical College System.

Victor Portolese, manager for Application Development Services at Edmonds Community College, said that the college was seeking a solution that would reduce the time and costs associated with the management of forms while also integrating easily with the existing system framework.

“Previously, all of our administrative information was managed using paper-based processes that were labor intensive and prone to error,” he said.

Portolese also said he believes that with Autonomy Cardiff, the college will be able to automate and streamline the HR-related business processes that have historically been paper based -- ”helping to decrease the time it takes to process our digital forms, while increasing our employees' productivity.”
